Transforming Global Contingent Worker Onboarding for Speed, Accuracy and Compliance

Overview

When organizations rely on large networks of contingent workers, onboarding and offboarding can quickly become a bottleneck—especially when compliance, security access, and global coordination are at stake. The Onboards team was responsible for ensuring policy-compliant onboarding and offboarding for contingent workers who required physical and logical access across Amazon facilities.

Approach

Their work included everything from conducting regular compliance audits to managing stakeholder communication and supporting ad-hoc tasks like name changes, manager updates, and vendor adjustments. As demand grew, so did the operational strain.
To solve these challenges, the team built a fully international onboarding/offboarding function, providing 24x5 coverage to support a global workforce. They also standardized and modernized onboarding documentation—eliminating outdated manual steps, including the removal of blue badges from the process. These changes not only improved consistency but also reduced errors and increased policy adherence across regions.

“Decentralizing the onboarding and offboarding processes enabled incredible scale to manage tens of thousands of transactions per year resulting in reduced cycle times and elimination of process defects.”

By implementing structured governance, better documentation, and end-to-end process improvements, the team transformed a complex workflow into a streamlined, compliant, and error-free operation.
